What we collect, why we collect it, how long we keep it, and what this website stores in your browser.

1. Who we are

West Midlands Digital is a trading name of Vexis Systems Limited, registered in England and Wales (company number 17062581). We are the data controller for personal information collected through this website.

2. What this policy covers

This policy covers personal information we handle through this website. Work carried out for clients under a separate agreement is covered by the terms of that agreement, not by this page.

3. Information we collect

Information you give us. When you use the contact form we collect your name, email address, business name if you choose to give one, and whatever you write in the message. If you contact us by email, telephone or WhatsApp instead, we hold whatever you send us that way.

Information collected automatically. Our host processes technical information needed to serve the page and protect the site, such as your IP address, browser type and the time of the request. We do not use this to build a profile of you.

This website uses no analytics, no advertising and no tracking of any kind. There is no Google Analytics, no advertising pixel and no third-party tracking script on this site.

4. Why we use it, and our lawful basis

  • To answer your enquiry. Legitimate interests — you have asked us a question and expect a reply.
  • To quote for work and carry it out. Steps taken at your request before entering a contract, and performance of that contract.
  • To keep the site secure and available. Legitimate interests — protecting the site from attack and automated abuse.

We do not send marketing emails, and we do not sell, rent or trade your information to anyone.

5. Who we share it with

We use the following providers, who process information on our instructions:

  • Brevo (Sendinblue SAS, France) — receives the contact form submission and delivers it to us as an email.
  • Cloudflare, Inc. — hosts this website and protects it from attack.
  • Our email provider — delivers and stores the messages you send us.

We share information with no one else, unless we are required to by law or need to establish or defend a legal claim.

6. Information sent outside the UK

Some of the providers above operate outside the UK. Where personal information is transferred out of the UK, it is protected either by UK adequacy regulations or by the International Data Transfer Agreement or Addendum approved by the Information Commissioner.

7. How long we keep it

  • Enquiries that do not lead to work — up to 12 months from your last contact with us, then deleted.
  • Enquiries that lead to work — for the length of the engagement, and six years afterwards, to meet our accounting and legal obligations.

8. Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the information we hold about you
  • Have inaccurate information corrected
  • Ask us to delete it
  • Ask us to restrict how we use it
  • Object to us using it
  • Ask us to transfer it to someone else

To exercise any of these, email hello@westmidlandsdigital.co.uk. We will respond within one month. There is no charge.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner at ico.org.uk or on 0303 123 1113. We would rather you raised it with us first so we can put it right.

9. Cookies and browser storage

This website sets no cookies of its own, and uses no cookies for analytics, advertising or tracking. The only things stored in your browser are listed below, and all of them are strictly necessary — the site cannot work properly or stay secure without them.

Strictly necessary storage does not require your consent — we have to tell you about it, but you are not asked to agree to it. That is why the notice on this site is an acknowledgement rather than a consent choice. If we ever add analytics or advertising, we will ask for your consent first and this page will be updated.

You can clear or block browser storage in your browser settings at any time. If you clear it, the cookie notice will appear again on your next visit.

10. Keeping your information safe

This site is served over HTTPS, so anything you send through the contact form is encrypted in transit. We limit access to enquiry information to the people who need it to reply to you. No system is completely secure, but we take reasonable steps to protect what you send us.

11. Children

This website is aimed at businesses and is not directed at children. We do not knowingly collect information about anyone under 18.

12. Changes to this policy

If we change how we handle personal information, we will update this page and change the date at the top. This policy was last updated on 24 August 2026.
